The Opportunity:

The Port Alberni Division of Family Practice (PADoFP) is looking for a Coordinator on a contractual basis for a one year term with the possibility of renewal who can assist with the management and coordination of various projects and the administration of organizational activities of the Division.

Contract Description/Duties:

Working under the direction of the Physician Lead, the coordinator manages the ongoing operations of the group and implements projects that address specific areas of primary care, administration and physician support.

  1. Administration 
  1. Support the Port Alberni physicians by organizing and hosting regular meetings, preparing briefing and discussion documents and related records, and responding to physician member requests.
  2. Create and maintain administrative support systems as needed by the group.
  3. Develop, recommend and implement initiatives, and administrative policies and procedures.
  4. Liaise and develop effective relationships with funding sources and ensure the submission of required reports and contract timelines are met.
  5. Develop positive working relationships with health partners, including health authority, local service providers and local non-profit organizations.
  1. Communication and Engagement of Members and Partners
  1. Establish and maintain relationships and regular engagement with Port Alberni physicians.
  2. Engage with partners and experts throughout the community and the province, including but not limited to:
    1. Island Health
    2. Community partners
    3. Patients and residents to build collaborative relationships and enable information sharing and capacity building
    4. Divisions of Family Practice
  3. The coordinator supports both internal and external communications of the Physician Lead and local physicians including; receiving and distributing relevant communications to the Physician Lead, members and partners as requested.
  1. Project Management   
  1. Develop proposals on behalf of the physician lead, working groups and others as requested. 
  2. Engage in initiation of projects new to the Port Alberni physicians.
  3. Research, develop and submit funding proposals and applications for funding.
  4. Provide project management support to project teams in meeting their objectives.
  5. Track projects of the Port Alberni physicians and report regularly on over all progress, challenges/opportunities, risk management and spending to budget.

Qualifications 

  Desired Experience and Qualifications

  1. Experience working with family physicians. 
  2. Proven ability to collaboratively plan, lead, manage, build consensus and inspire positive change.
  3. Prior success in writing grant and project proposals.
  4. Degree in health care, business, or a related discipline, or a strong combination of equivalent training and experience. 
  5. Experience working with non-profit organizations.
  6. Previous management and/or consulting experience with preference to those with experience in the primary health care setting or other health service setting.  
How to Apply 

Expect 20 hours per week on a contractual basis. Prefer ability for candidate to work from a home office. Candidate must be able to work hours that accommodate physician schedules which may include mornings, evenings, and weekends. Compensation is competitive and commensurate with experience.
